1. Introduction

Welcome to Walberswick Camping. These Terms and Conditions ("Terms") govern your use of our website and services, including booking and staying at our camping and glamping facilities. By making a booking or using our services, you agree to be bound by these Terms.

Please read these Terms carefully before making a booking. If you do not agree to these Terms, please do not use our services.

2. Definitions

  • "We", "Us", "Our" refers to Walberswick Camping
  • "You", "Your", "Guest" refers to the person making the booking or staying at our site
  • "Site" refers to our camping and glamping facilities
  • "Pitch" refers to the allocated camping or glamping space
  • "Booking" refers to your reservation of accommodation

3. Bookings and Reservations

3.1 Making a Booking

  • All bookings must be made through our official website, phone, or email
  • You must be at least 18 years old to make a booking
  • You must provide accurate and complete information when booking
  • A booking is only confirmed once you receive a confirmation email from us

3.2 Payment

  • Full payment or a deposit (as specified during booking) is required to secure your reservation
  • We accept payment by credit card, debit card, and bank transfer
  • If paying by deposit, the remaining balance must be paid at least 7 days before arrival
  • Failure to pay the balance may result in cancellation of your booking

3.3 Pricing

  • All prices are in GBP (£) and include VAT where applicable
  • Prices are subject to change but confirmed bookings will honor the price at time of booking
  • Additional charges may apply for extra guests, pets, or additional services

4. Cancellations and Refunds

4.1 Cancellation by Guest

  • More than 30 days before arrival: Full refund minus £25 administrative fee
  • 15-30 days before arrival: 50% refund
  • Less than 15 days before arrival: No refund
  • No-shows: No refund

All cancellations must be made in writing via email. The cancellation date is the date we receive your email.

4.2 Cancellation by Us

We reserve the right to cancel bookings in exceptional circumstances (severe weather, emergency repairs, etc.). In such cases, we will provide a full refund or offer alternative dates. We are not liable for any additional expenses you may have incurred.

5. Arrival and Departure

  • Check-in time: From 2:00 PM onwards
  • Check-out time: By 11:00 AM
  • Early arrival or late departure may be available on request (subject to availability and additional charges)
  • Please inform us if you expect to arrive after 8:00 PM
  • Pitches must be vacated by the specified check-out time to avoid additional charges

6. Site Rules and Guest Conduct

6.1 General Conduct

  • Guests must respect other visitors and maintain reasonable noise levels, especially between 10:00 PM and 8:00 AM
  • No anti-social behavior, excessive drinking, or drug use will be tolerated
  • Children must be supervised at all times
  • Guests are responsible for their belongings; we are not liable for loss or theft

6.2 Fires and BBQs

  • Campfires are only permitted in designated fire pits
  • BBQs must be raised off the ground
  • Never leave fires unattended
  • Ensure all fires are completely extinguished before leaving your pitch or going to sleep
  • Firewood is available for purchase on-site

6.3 Vehicles and Parking

  • Maximum speed limit on-site is 5 mph
  • One vehicle per pitch is included; additional vehicles may incur extra charges
  • Park only in designated areas
  • Vehicle access to pitches may be restricted during wet weather to protect the ground

6.4 Pets

  • Well-behaved dogs are welcome (subject to notification during booking and additional fee)
  • Dogs must be kept on leads at all times
  • Please clean up after your pets immediately
  • Dogs must not be left unattended or cause disturbance to other guests
  • Maximum 2 dogs per pitch

6.5 Waste and Recycling

  • Dispose of all waste in the designated bins provided
  • Please recycle where possible using our recycling facilities
  • Do not empty chemical toilets except in designated disposal points

7. Facilities and Equipment

  • Showers, toilets, and washing facilities are for the use of registered guests only
  • Please report any damage or maintenance issues immediately
  • We reserve the right to close facilities temporarily for cleaning or maintenance
  • If booking glamping accommodation with provided equipment, you are responsible for any damage beyond normal wear and tear

8. Damage and Liability

8.1 Guest Liability

You are responsible for any damage caused to the site, facilities, or equipment during your stay. We reserve the right to charge for repairs or replacement of damaged items.

8.2 Our Liability

  • We are not liable for any loss, damage, or injury to guests or their property except where caused by our negligence
  • Camping and outdoor activities carry inherent risks; guests participate at their own risk
  • We are not responsible for adverse weather conditions or their impact on your stay
  • We recommend guests take out appropriate travel insurance

8.3 Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, pandemic, or government restrictions.

9. Health and Safety

  • Please familiarize yourself with emergency procedures upon arrival
  • Fire extinguishers and first aid facilities are located at reception
  • Report any accidents or incidents to staff immediately
  • Guests with medical conditions should ensure they have appropriate medication and inform us of any special requirements
  • Swimming, if available, is at your own risk

10. Privacy and Data Protection

We collect and process your personal data in accordance with UK GDPR and our Privacy Policy. Your information is used solely for managing your booking and improving our services. We do not share your data with third parties except as necessary to provide our services (e.g., payment processors).

11. Right of Admission

We reserve the right to refuse admission or ask guests to leave without refund if:

  • They breach these Terms and Conditions
  • They behave in an anti-social or dangerous manner
  • They provide false information during booking
  • Their behavior negatively impacts other guests or staff

12. Photography and Marketing

We may take photographs on-site for marketing purposes. If you prefer not to be photographed, please inform our staff. By staying with us, you consent to the use of general site photographs that may incidentally include guests for our marketing materials.

13. Complaints and Feedback

We strive to provide excellent service. If you have any concerns during your stay, please inform our staff immediately so we can address the issue. For formal complaints after your stay, please contact us in writing within 28 days at:

14. Changes to Terms

We reserve the right to update these Terms and Conditions at any time. Changes will be posted on this page with an updated "Last Updated" date. Bookings made before changes take effect will be subject to the Terms in place at the time of booking.

15. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
